Board Meetings 2024- 2025

The ARMA Vancouver Chapter Board meets once a month.
All Members are welcome to attend or call into the Board Meetings. To receive the agenda and conference call details, contact us.

  • 6:30pm on the second Tuesday of the month

Board  Positions - Key Responsibilities

Note that these are key responsibilities only and other duties may be required as appropriate. If you have further questions about the specifics of any position, please contact ARMA Vancouver at [email protected]. 

All elected officers of the Chapter shall be for a period of one (1) year with the exception of the President Elect, who is committed to serve a three (3) year consecutive term, one year each as President Elect, President and Past President. 

President *candidate must have at least one year’s experience on the Board before being elected.*  
  • Responsible for leading and understanding all aspects of the Chapter’s operations in its mission to provide professional services and support to its Members. 
  • Presides at regular and special meetings of the Chapter, calls and chairs meetings, determines the agenda, and conducts meetings. 
  • ​Represents the Chapter to ARMA International, the Region and other professional associations and organizations. 

​President Elect 
 
  • Responsible for assisting the President with Chapter affairs. The President-Elect is required to review and understand all parts of the Chapter’s operations and its mission to provide professional services and support to its Members. 
  • In the absence of the President, the President-Elect performs all the duties of the President. 

Treasurer
 
  • Chief Financial Officer of the Chapter.  
  • Responsible for the management of all funds of the Chapter: maintains a book of accounts, manages any fees and deposits, membership dues, and ensures banking information is in good order. Manages the chapter PO box.  
  • Prepares a chapter financial budget for approval by the chapter board of directors. 

​Secretary 
  • The recording officer of the Chapter.  
  • Responsible for creating, distributing and managing Board agendas, minutes, reports, correspondence and other documents of the Chapter.  
  • Responsible for scheduling meetings of the Chapter Board. 
  • Keeps and safeguards all Chapter records in accordance with the records retention and disposition schedule. 

Communications Director 
  • Responsible for oversight of Chapter communications, including the LinkedIn and Eventbrite accounts.  
  • Monitors the Chapter’s email accounts and responds / forwards the emails to the appropriate Board Member. 
  • Uploads and maintains website content (update the website for currency, post job postings and other key documents). 
  • Governs all Chapter information management, communication, and technical solutions including the Chapter website, email account(s) and information repository(s) to ensure they meets the Chapter business and security requirements. 

Events/Programming Director 
  • Responsible for planning, coordinating and implementing Chapter educational events. 
  • Coordinates and implements Chapter educational events; creates EventBrite pages and organizes marketing campaigns.  
  • Develops plan for the year's educational events by identifying topics, subjects, and issues faced in the local RIM community.  
  • Maintains an updated list of potential program themes, event topics and interested speakers. 

Membership Director 
  • Responsible for the recruitment, communication and sustainment of the Chapter’s Membership. 
  • Reaches out to new and current members regarding the benefits of membership offered by the Chapter and ARMA International. 
  • Presents to students at the local colleges & universities (VCC, Langara, & UBC) about the benefits of membership as well as scholarships available to members.
  • Reaches out to current and prospective members at Chapter programs and events and responds to membership questions. 
  • Arranges distribution/mailing of recognition pins to those members who have reached membership milestones. 
 
Education Director 
  • Responsible for disseminating current information on educational opportunities and certification requirements in the RIM field.  
  • Provides information and guidance to chapter members considering the Certified Records Manager (CRM) designation or the Information Governance Professional (IGP) certifications. 
 
Chapter Librarian 
  • Responsible for promoting, administering and managing the Chapter’s library collection and resources. 
  • Manages the acquisition, cataloguing, organization, weeding and the overall management of the Chapter’s Library collection. 
  • Develops and maintains the Library Catalogue. 
  • Identifies and purchases items to ensure the collection meets the needs of Chapter Members. 
 
Chapter Records Manager & Historian 
  • Responsible for the management of the Chapter’s records and archives. 
  • Ensures that the Chapter’s records are created, managed, retained and disposed of in an effective and efficient manner. 
  • Responds to requests for retrieval of various records, documents, listings, etc. when required by the Board.
